Administrative Assistant/Office Manager I

Provide administrative support to the Education Department at Drumlin Farm, with a focus on school, group, family and community preschool programs and seasonal support of camp.  Duties include office management, registration for programs, volunteer coordination, public/community relations, and budget maintenance. Provide excellent customer service through phone, email, and in-person communications, projecting a professional image of Mass Audubon.

Responsibilities

Office Management

  • Perform a variety of administrative duties including, but not limited to:
  • Registration for programs, including phone interaction with the participants and teachers and parents of participants
  • Writing memos and letters
  • Setting up and maintaining paper and computer files
  • Making copies, reading and routing incoming mail, or similar office duties as required by manager
  • Maintaining office supply inventory
  • Maintaining faxes, printers, and copiers
  • Answer phone calls, including responding to general and routine inquiries about Mass Audubon and/or wildlife. 
  • Route other inquiries to appropriate department.

 Public/Community Relations

  • Act as visitor receptionist when required.
  • Professionally represent Mass Audubon at public events, offering information and answering questions in a customer focused manner.

 Budget Maintenance

 Maintain financial records for the unit, including, but not limited to:

  • preparing and submitting business office invoices and other forms
  • tracking expenses and reconciling unit income & expense summaries with office records
  • maintain budget files as reference for annual budget preparation

Qualifications

  • Associate’s degree and 1 year related experience or equivalent. 
  • Strong verbal and written communication skills, as well as organizational skills. 
  • Proficiency in MS Word, Excel, and Outlook. 
  • Interest in, and enthusiasm for environmental education and/or natural history. 
  • Flexibility and ability to respond to rapidly changing priorities, meet deadlines, and work as an effective team member. 
  • Ability to relate to a diverse range of people and exercise cultural competence and inclusion. 
  • Must have a valid driver’s license and ability to travel within Massachusetts. 
  • Successful candidates must pass a background records check (CORI, SORI and driver’s)

Compensation and Benefits

This position comes with a full benefits package, including health insurance, vacation and 403b.

Rate of pay: $15.00/hr
