General Information for All Sponsors (Including Exhibitors)

When and where is the conference?
BuildingEnergy NYC 2023 will take place on October 12 at Convene 237 Park Avenue. The venue is in Midtown East, just a couple of blocks from Grand Central. The main entrance is on Lexington Avenue and the venue is just up the escalators on the second floor.

All attendees will need to show a photo ID to access the venue.

Where can I stay?
We do not have a block of rooms reserved, we recommend searching the best available rates on hotel.com or kayak.com.

What about food?
Breakfast, lunch, and refreshments are available throughout the day on the trade show floor.

How many staff can I bring and how do I get them registered?
Each sponsorship level includes a set number of complimentary conference passes for sponsor staff, including those staffing exhibit tables. We will reach out by email to request the names of complimentary pass recipients, and then register them for you. If you need additional passes for other staff, clients, or prospects, you will need to purchase them.

Will I receive a list of attendees?
Yes, you will receive a copy of the attendee list after the conference, which you may use for a one-time e-mail outreach and follow up. We do not provide a list of registrants in advance, but you will be able to view and search who is registered to attend by both individual and company on the Who's Attending page.

Can I speak at the conference?
A limited number of sponsored speaking slots are available, based on sponsorship level. If you have questions, please contact bsachs-hamilton@nesea.org. Accredited sessions are chosen through a peer review process that begins in the early spring. If you are interested in submitting a session proposal for next year's conference, make sure you are on the NESEA mailing list.

Can sponsors and exhibitors attend the conference sessions?
Yes! All conference attendees are encouraged to attend sessions.

How can I promote the event?
Your help in packing the house is greatly appreciated. We have provided a Media Kit with marketing language and images for promotional use here.

 

Information about Exhibiting

What is the timing of the trade show?

  • Table setup must occur on Thursday, October 12 between 6:30am and 8:30am unless otherwise arranged.
  • Trade show hours are from 8:30am to 4:45pm.
  • Table breakdown must be complete by 5:15pm.

What is included with an exhibit table?

  • 6′ x 30” skirted table.
  • 2 chairs.
  • Wifi.
  • 220 Amp electricity service.

Please remember, this is a tabletop show, not a booth show. Any displays that exceed the length of your table or interfere with neighboring displays will be subject to the discretion of NESEA staff.

How does loading/unloading work?
This is a tabletop show, so we recommend bringing carry-in, carry-out items only. If you need to bring in large or heavy items, you will need to use the loading dock and provide a Certificate of Insurance (view sample with instructions here) to dhalpern@convene.com. Please also bring a hard copy of your COI with you. There will be no access to the loading dock before 7:00 am.

Can I ship materials in advance of the event?
Packages can arrive no earlier than (3) business days prior to the event start date and may be held up to (3) days after event. Arriving earlier or being picked up later will incur additional storage fees. Please send all packages via FedEx, UPS or DHL prior to the event & arrange pickups post event. Click here for more details.
