BuildingEnergy NYC 2022 Exhibitor FAQs

What is the timeline for the trade show?

  • Table setup must occur on Thursday, September 15 between 6:30am and 8:30am unless otherwise arranged.
  • Trade show hours are from 8:30am to 4:45pm.
  • Table breakdown must be complete by 5:15pm.

Where can I stay?
We do not have a block of rooms reserved, we recommend searching the best available rates on hotel.com or kayak.com.

What is included with an exhibit table?

  • 6′ x 30” skirted table.
  • 2 chairs.
  • Wifi.
  • 220 Amp electricity service.

Please remember, this is a table-top show, not a booth show. Any displays that exceed the length of your table or interfere with neighboring displays will be subject to the discretion of NESEA staff.

What are the display specifications?

  • Displays must fit within the width of the provided  6’ table and may be placed behind the table.
  • No display may protrude into the aisle or be placed between tables.
  • No display shall exceed 10 feet in height without permission from NESEA.
  • No booths may interfere with direct visibility of an adjoining display.

Where do I go to set up my table?

The conference will be held at Convene at 237 Park Ave right in Midtown East and just a couple of blocks from Grand Central. The entrance is on Lexington and the venue is on the second floor, just up the escalators once you enter the lobby of the building.

How does loading/unloading work?
This is a table-top show so we recommend bringing carry-in, carry-out items only. If you need to bring in large or heavy items, you will need to use the loading dock and provide a Certificate of Insurance (view sample with instructions here), so please contact drobinson@nesea.org no later than August 15, 2022.

Can I ship materials in advance of the event?
Packages can arrive no earlier than (3) business days prior to the event start date and may be held up to (3) days after event. Arriving earlier or being picked up later will incur additional storage fees. Please send all packages via FedEx, UPS or DHL prior to the event & arrange pickups post event. Click here for more details.

What about food?
Breakfast, lunch, and refreshments are available throughout the day on the trade show floor.

How many staff can I bring and how do I get them registered?
Each exhibit table includes two full conference passes. Diane Robinson will provide information on how to get your staff registered. If you have questions, please email her at drobinson@nesea.org.

Can exhibitors attend the conference sessions?
Yes. Exhibit tables include two full conference passes, which include access to all conference sessions. We encourage you to attend sessions!

How do I purchase passes for clients and prospects?
Unfortunately, we will not be offering trade-show-only passes for BuildingEnergy NYC. Our venue has a limited capacity, which we expect to sell out quickly. Thank you for your understanding. Exhibiting companies can purchase additional passes online here.

Can I get a pre-show copy of registrants?
We typically do not distribute the pre-show registration list. However, if you have specific questions we are happy to answer them. Additionally, you will be able to view and search who is registered to attend by both individual and company on the Who's Attending page.

Will I receive a post-show attendee list?
Yes, you will receive a copy of the attendee list after the conference, which you may use for a one-time e-mail outreach and follow up.

Can I speak at the conference?
A limited number of sponsored speaking slots are available. If you have questions, please contact NESEA at ed@nesea.org. For accredited sessions, an RFP process for speaking roles occurs prior to the conference. Please check for that opportunity for BuildingEnergy Boston 2023 this fall.

How can I promote the show?
Your help in packing the house is greatly appreciated. We will be providing a Media kit with marketing language and images soon.
